Practice software from Switzerland

Appointments online. Records encrypted. Practice transferable.

optiHealth is a practice system for medical practices, health centres, physiotherapy and naturopathy. Patients book online and see their appointments and shared documents in their own portal, your team works in one calendar — and the medical record is encrypted such that we, the operator, cannot read it.

CHF 22.– per month and practice No commission per appointment Operated in Switzerland Zero knowledge instead of privacy promises

Made for small and medium practices

A single-handed practice runs its day with it, a health centre manages several practitioners, rooms and devices. Same foundation, different settings.

Medical practice

Consultation and record

Appointment types with preparation time, history and SOAP progress notes, measurements, findings, documents — and an access log that records every look into a record.

Therapy

Series instead of single appointments

Prescriptions across several sessions, appointment series in one go, body chart to draw on the tablet and an invoice with the Swiss QR payment part.

Naturopathic practice

Your own methods, your own fields

Freely named appointment types and services, EMR and ASCA number on the invoice, waiting list that moves up when someone cancels.

What you get

Everything a practice needs every day — and three things nobody else ships.

Online appointment booking

Your own booking page at yourpractice.optihealth.ch, embeddable in your website. Lead time, horizon, cancellation deadline and a self-service link for patients.

Calendar for several practitioners

Day and week view, drag with mouse or finger, conflict checking across practitioners, rooms and devices, absences and appointment series.

Patient record

Search via encrypted tokens, record with timeline, SOAP progress, standing notes such as allergies, measurements, consents, duplicate detection and emergency contacts. Entries are immutable; corrections remain traceable. The whole record prints as a PDF.

Body chart

Mark pain points and areas on the tablet — on a male or female figure, front and back, full screen. A coded list of findings follows automatically, and at the next consultation you continue the drawing instead of starting over.

Forms and reports

Compose your own history forms and questionnaires — the definition open, the answers encrypted. Report templates fill in patient data automatically and print as a PDF with a signature.

Tariffs and e-invoicing

TARDOC, SSO and tariff 590: tax points times point value times normalisation factor, per tariff and with a validity date. Electronic invoice to the insurer as generalInvoice 5.0 XML, tiers garant as well as tiers payant.

Opening and working hours

One weekly grid for the practice and one per practitioner, several windows a day for the lunch break. Holidays and courses are blocked in the calendar — only what appears in both grids is bookable.

Print instead of retype

Day sheet, week and month plan as a PDF — optionally without names, for pinning up. Plus invoice, report, invitation sheet and the whole medical record, all with your logo in the letterhead.

Documents and images

Findings, referrals, X-rays up to 25 MB. Encrypted in the browser, transferred in parts, preview after decryption.

Invoice with QR

Service catalogue, items per appointment, invoice with the Swiss QR payment part. The document is produced in the browser — the server sees no recipient data.

Archive with retention

Closed records become sealed packages with a retention period and a legal basis. A weekly run verifies that everything is still unchanged.

Roles as a real boundary

Reception signs in and sees contact details. The medical record stays closed — not because a checkbox is missing, but because the key is. Plus a second factor, emergency codes and an access log as a hash chain.

ERP connection

If you also keep accounts, transfer addresses and invoice headers to OptiCore ERP — from the browser. Reasons for visit, diagnoses and documents stay here.

Patient portal: what the patient sees

A portal that shows a record is not a portal — it is a record with a second entrance. With optiHealth the patient sees shares: what the practice has expressly given her, and nothing else.

Her own key, not yours

The patient receives a printed sheet with an ID and a one-time link, chooses a passphrase — and her key is created in her browser. We cannot open her documents either.

Manage appointments herself

Upcoming and past appointments, reschedule or cancel within your deadline, book anew. The freed slot goes to the waiting list automatically.

Sharing means wrapping the key

You share a single report or document; the key is wrapped for the patient in your browser. Withdrawing deletes that envelope — and we say so: whatever she downloaded stays with her.

Secure message instead of email

Questions between two appointments run encrypted through the portal, in both directions. The notification only says that there is something new — never what it is about.

Why “encrypted” means something else here

Most systems encrypt the line and the disk. That protects against thieves — not against the operator. With optiHealth the keys are created in your browser.

  1. Your passphrase stays with you

It yields two separate values: one goes to the server as proof of sign-in, the other stays in the browser and opens the data. The server only knows the first.

  2. Patients encrypt as they book

Name and reason are sealed on the booking page against your practice's public key. Between patient and practice there is no readable moment.

  3. Two keys, two views

Contact details hang on the practice key, medical content on the treatment key. That is why reception can call, but not read along.

  4. Every access is part of a chain

The access log chains every entry to the previous one. Changing a line afterwards breaks the chain — for the operator too.

What that also means

If all recovery codes and passphrases are lost, nobody can reach your data any more. There is no master key at the provider — that is the whole point, and we would rather say it beforehand than after the damage.

Practice handover, archive, closing down

The uncomfortable questions at the end of a practice life — with optiHealth they are built, not merely described in a contract.

Handover to a successor

Records are not exported and imported but re-wrapped: your browser re-wraps every record key to the successor practice. Beforehand you compare their fingerprint over the phone, afterwards both sides sign a protocol.

Retention as required

Period in years plus legal basis in plain text, for minors counted from the age of majority. Deletion happens only after expiry, with two signatures and a signed protocol — and then cryptographically, so it is worthless even in backups.

Closing down with a trustee

If nobody takes over, operations end — retention does not. A notary or association creates its own key and can open the archive packages if needed: without optiHealth, without us, without you.

Price

Per practice, not per head. Someone joining costs nothing extra — a practice should not have to weigh whether the apprentice deserves her own account.

optiHealth

22.– CHF per month and practice

  • unlimited number of users
  • online booking without commission
  • patient record, body chart, documents
  • invoice with QR payment part
  • archive, handover, trustee
optiHealth + OptiCore ERP

44.– CHF per month and practice

  • everything in optiHealth
  • plus the ERP for accounting, receivables and payroll
  • invoices flow straight into the accounts

No fee per appointment, no fee to export your data, no minimum term. For comparison: systems priced per user quickly cost a three-person practice five to eight times as much.

How to start

From enquiry to first appointment takes an afternoon, not a project.

  1. You get in touch

The form below or a phone call. In twenty minutes we work out whether optiHealth suits your practice — and we say so when it does not. Just opening up? Then our practice opening checklist.

  2. We switch your practice on

You get your own address yourpractice.optihealth.ch and a setup link. In doing so we create no keys — only the empty shell.

  3. You set up in the browser

Practice name, passphrase, practitioners, opening hours, appointment types. That is where your keys and recovery codes come into being. We never see any of it.

  4. Link the booking page, invite the team

A link on your website, staff added by invitation, records created. The Manual walks through everything step by step.

Frequently asked questions

What practices want to know before switching.

We do not want online booking. Is that possible?

Yes. Public booking can be switched off — your page then shows only the address and phone number, and your reception assigns appointments as before. Calendar, patient record, billing, archive and handover carry on unchanged. Many medical practices run optiHealth exactly like that.

Does optiHealth bill according to TARDOC, SSO or tariff 590?

The arithmetic is there: tax points times point value times normalisation factor, per tariff and with a validity date, and every item remembers the values it was calculated with. Tariff 590 for physiotherapy is included. TARDOC and the SSO tariff we deliberately do not ship — both change annually. You load the tariff file from your association or trust centre; existing items are updated, not duplicated.

Is there a patient portal?

Yes. You invite a patient from her record — with a sheet to print showing an ID and a one-time link. She chooses a passphrase, and her key is created in her browser. After that she sees her appointments, can reschedule or cancel, reads the documents you have shared and writes to you encrypted. She never sees a record — only shares, which you can withdraw at any time.

Can we invoice health insurers electronically?

Yes. optiHealth produces XML according to generalInvoice 5.0 of the Forum Datenaustausch — tiers garant and tiers payant, with case, insurer, GLN, ZSR and insured number. The file is produced in the browser and validated against the official schema before it goes out. Alongside it the printed invoice with the QR payment part remains.

How often do we have to sign in again?

As long as you are working, not at all. The session slides along and ends after four hours without activity or when you press Sign out; a service update no longer signs anyone out. If you want, add a second factor — with emergency codes in case the phone is missing.

Can we build our own forms and reports?

Yes. The form builder creates history forms and questionnaires with text, number, choice and slider fields; the definition is open like your service catalogue, the answers are encrypted record entries. Report templates insert patient data automatically and print as a PDF with a signature — that is why a TCM practice and a physiotherapy can use the same software.

What does end-to-end encrypted mean for a patient record?

The keys are created in your practice's browser and do not leave it. The server stores only ciphertext and cannot read names, reasons for visit or medical records — nor can we as the operator. What it sees are times, rooms and pseudonyms, so that the calendar works at all.

What happens if we lose our passphrase?

During setup, recovery codes are created on a two-of-three principle; keep them in separate places. Two of them restore the practice. If all are lost, nobody can reach the data any more — we cannot either.

How long must medical records be kept in Switzerland?

The period is set at cantonal level, often ten years, longer in some cantons; on top of that comes art. 958f CO for the business books, and longer special periods apply in some areas. That is why with us the period is a setting with a field for the legal basis — and not a number we invented for you. Which one applies to you, clarify with your canton or your association.

Can we get our data out again?

Yes. Every closed record becomes a self-contained archive package: ciphertext, manifest, signature and key envelopes in one file that can be verified and opened without optiHealth. That is also our export format.

What does optiHealth cost?

22 francs per month and practice — regardless of how many people work with it. Together with the OptiCore ERP for accounting, receivables and payroll it is 44 francs for both. No commission per appointment, no fee to export your data, no minimum term.

Does it run on a tablet?

Yes, the interface is built for tablet and phone — the body chart is drawn with a finger or a stylus. No installation needed, just a current browser.

Where is the data?

On servers in Switzerland, operated by optinno GmbH. Because the contents are encrypted, the location is however the second line of defence — the first is that nothing readable is there.

Can we switch from our current system?

Appointments and master data can be taken over; for medical records it depends on the export format of your current system. Talk to us about it — we look at a sample export before you decide.
